Privacy Policy

This policy explains how Complynce handles personal information across the website, platform, billing workflows and customer communications.

Effective Date

This Privacy Policy is effective from 26 April 2026.

1. Who We Are

This Privacy Policy applies to Complynce, a trading name of NIMS Edge Pty Ltd (ABN 64 685 052 715).

In this policy, references to Complynce, we, us or our mean NIMS Edge Pty Ltd trading as Complynce.

2. Background

Complynce is committed to managing personal information responsibly and in accordance with applicable privacy and data protection laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.

This Privacy Policy explains how we collect, use, store, disclose and otherwise handle personal information across our website, platform, customer communications and related business operations.

3. Scope

This Privacy Policy applies to personal information we collect as a business and website operator, including through enquiries, demo requests, sign-up flows, support interactions, account administration, billing and service communications.

Where customer organisations use the Complynce platform to upload, create or manage compliance records, evidence, user accounts and related data, we generally handle that information as a service provider to the customer organisation under the relevant customer agreement and platform terms.

4. Personal Information We Collect

Depending on how you interact with us, we may collect your name, organisation name, job title, phone number, email address, billing details, business address, account credentials, support information, and other information you choose to provide.

We may also collect platform usage information such as login events, IP address, device or browser information, page interactions, audit activity, uploaded content metadata, and records of product use.

If you use our website, we may collect cookie, analytics and security-related data to help us operate, protect and improve the website and platform.

Data within the platform may be provided by users, imported from third-party systems, or generated through platform workflows and automated processes.

5. How We Collect Information

We collect information directly from you when you submit forms, request a walkthrough, sign up, activate an account, contact support, subscribe to updates, or otherwise communicate with us.

We also collect certain information automatically when you use the website or platform, including through server logs, cookies, analytics tools, fraud-prevention tools and service monitoring.

In some cases, a customer organisation may provide your work contact details to us so that we can create or administer your access to the Complynce platform.

6. How We Use Information

We use personal information to provide and maintain the Complynce platform, authenticate users, create and administer accounts, provide support, manage subscriptions and billing, send service communications, improve the product, maintain security, prevent abuse, comply with legal obligations, and respond to enquiries or complaints.

Where permitted, we may also use personal information to send you marketing or product communications. You can opt out of those messages using the unsubscribe link in the message or by contacting us.

7. Customer Platform Data

Customer organisations control the compliance records, evidence, obligations, incidents, workforce data, reports and other content they create or upload in their Complynce environment.

We process that information to host, secure, maintain and support the platform, and to provide features requested by the customer organisation. We do not use customer platform data for unrelated marketing purposes.

Users and customer organisations are responsible for keeping the information they upload, maintain or approve within the platform accurate, complete and up to date.

8. Billing And Payments

We use third-party payment providers to support subscription billing, payment method storage, invoices and billing administration.

Where payments are processed through Stripe, payment card information is collected and handled by Stripe in accordance with Stripe’s own terms and privacy practices. We do not intend to store full card details directly in the Complynce application.

9. Service Providers And Third Parties

We may disclose personal information to service providers and contractors who help us operate the website, platform and business, including infrastructure, hosting, storage, billing, email delivery, analytics, security and support providers.

These may include providers such as Amazon Web Services (AWS) for infrastructure and hosting, Stripe for billing and payment workflows, Resend for transactional email delivery, Cloudflare Turnstile for form protection and abuse prevention, and Google Analytics for website analytics, together with other professional advisers or service providers engaged from time to time.

We may also disclose information where required by law, to respond to lawful requests, to protect our rights, to investigate fraud or security issues, or in connection with a business sale, restructure, financing or similar transaction.

While we take reasonable steps to maintain data integrity within our systems, we cannot promise that information supplied by users, customers or third-party providers will always be fully accurate, complete or current.

10. Cookies, Analytics And Website Technologies

Our website may use cookies, analytics tags and similar technologies to understand website traffic, maintain session integrity, improve user experience, measure campaign performance, and help protect forms and services from misuse.

You can manage cookies through your browser settings, but some website features may not function correctly if cookies are disabled.

11. Overseas Disclosure And Data Hosting

We may use service providers with infrastructure, personnel, subprocessors or disaster recovery arrangements located outside Australia. As a result, personal information may be stored or accessed in other countries.

Where offshore processing occurs, we take reasonable steps to work with reputable providers and to maintain appropriate contractual, technical and organisational safeguards.

12. Security

We use technical and organisational measures designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These measures may include role-based access controls, authentication controls, encrypted transmission, audit visibility, access restriction, secure hosting and operational monitoring.

No online service can guarantee absolute security, but we take security seriously and continuously work to improve our protections.

13. Data Retention

We retain personal information for as long as reasonably necessary to provide our services, operate the business, resolve disputes, enforce agreements, comply with legal obligations and maintain appropriate business records.

When personal information is no longer required, we may delete, destroy or de-identify it, subject to any legal, regulatory or operational retention requirements.

14. Access, Correction And Privacy Requests

You may request access to personal information we hold about you, or request correction of inaccurate, out-of-date or incomplete information, subject to any applicable legal exceptions.

If you would like to make a privacy request, please contact us using the details set out below. We may need to verify your identity before responding.

15. Marketing Communications

If you subscribe to updates or otherwise consent to receive marketing communications from us, we may send you information about the platform, product changes, events, insights or offers.

You can opt out of marketing communications at any time. Service and account-related communications may still be sent where necessary to provide the platform or manage your account.

16. Children

Complynce is intended for business and organisational use. It is not directed to children as end users.

17. Changes To This Policy
